Meeting called to order at 3:00 PM on March 10, 2015 by Gary Moore, President. Present were Board members Gary Moore, John Gensinger, Toby Terrell, John Harp, Lisa Whitley, Amber Stotesbury, and Tiffany Alexy. Jeb Black and Joe Stewart were present representing Wilson Property Management.
Homeowner’s Forum.
Trash violations (a $100 fine) must go to a hearing in front of the Board. A motion to implement two fine notices was made by Toby, with John Gensinger seconding the motion. The first notice is a warning, followed by a $100 fine if the trash is not removed.
Residents of the units managed by The Preiss Company were notified that TPC would not tow during the snow and ice storms – but Wilson Property Management was not informed of this or was involved in any way, even though parking is now their jurisdiction
Signage promoting leasing by TPC for $335 a month was discussed. The HOA owns the common grounds where the signs are located, and not everyone can put their signs. But there is a reluctance to burn bridges with TPC.
Mold was noted in some of the windows, along the bottom and the middle joint – it is common with aluminum windows because they sweat.
Treasurer’s Report.
Budget Comparison
Some back dues have been collected, resulting in higher income than budgeted.
Tree removal was completed, but the total price was $800 higher than the original bid because two of the Leland Cypress trees on Centennial Woods had to also be removed at $400 a piece
The electric utilities line items have been separated by description - area lights and riser rooms for better cost transparency
The expense of a security guard from 11pm-4am has gone up, because the new company offers worker’s compensation. Hours will be dialed back to 11pm-3am in order to cut costs, but if there are disturbances between 3am-4am it is possible to go back to the original schedule.
Delinquent dues are still being collected, with more focus going toward those owners who owe in the thousands range rather than for smaller amounts.
Management Report.
Power washing is scheduled to start March 30, prior to which gutters will be cleaned.
The Fire inspection was completed today, 3/10/15.
New parking passes are forthcoming
Old Business.
New bids from landscaping contractor have been more expensive, but going through the bidding process has enabled us and Wilson to have a better idea of the market rates for landscaping and whether the current landscaper is being paid fairly or not. If they are not, it might explain why the quality of their work has deteriorated.
There is trash in the trees along the property line on Wolftech. This area is part of the property, but does not get regular attention from landscaping/maintenance, which has resulted in a build up of trash. This is not high priority, but is now on the radar to be addressed again and taken care of soon.
The golf cart is not being used and presents a liability (temptation to college students, depreciation etc.) rather than an asset. A fair market price will be determined after some due diligence and the golf cart will be sold.
New Business.
Since the last meeting, the amendments to the bylaws will be added in the Annual Meeting and an attorney will be available at the meeting to answer any questions.
